Departments

Create and manage departments to organize and distribute the sending of marketing campaigns.

Departments define the sending of campaigns between different areas or units of the company. This is especially useful when you do not want one area to see the campaign sends of another.

Another advantage is distributing and controlling sending quotas among multiple departments in an organized and efficient manner, in case Meta sets sending limits for your account.

Attention: if you do not need separate sending quotas or separate viewing of campaigns and sends, creating a department is unnecessary.

How to Access

Access: Marketing / Settings / Departments, as shown in Figure 1:

Register New Department

Step 1: Click New

By clicking the New, you will be directed to the registration form.

Step 2: Fill in the Name

Select a color:

On the right side of the form there is a color selector. Click the colored circle to choose the desired color for the department.

Step 3: Confirm Registration

After filling in the name and choosing the color:

  1. Review the information entered

  2. Click the button Confirm to save

  3. The new department will appear in the main listing


Configure Department

After creating a department, you can access its settings by clicking the gear button () in the Action.


Section: General

The General section contains sending limit settings per channel. Remember that configuring these limits is optional.

Notification Limits

Field
Description

Monthly WhatsApp notification limit

Defines how many active contacts can be sent via WhatsApp per month

Monthly SMS notification limit

Defines how many active contacts can be sent via SMS per month

Monthly Email notification limit

Defines how many active contacts can be sent via Email per month


Section: Accumulation Type

Choose how sending limits will be accounted for:

Available options:

  1. Current month (selected by default)

    • Counts only the sends of the current month

    • The counter resets at the beginning of each month

    Example: if the monthly limit is 1,000, with this option if the department only sends 600 in the current month the remaining 400 are lost.

  2. Previous months

    • Counts accumulated sends from previous months

    • Allows historical viewing

    With this option it is possible to add limits from previous months, which will be used in the following month. Example: if the monthly limit is 1,000 and the department used 600, 400 of credit remain for the next month.


Section: Templates

This section allows linking active message templates to the department.

Available field:

  • Template: Select templates from the available list

Add button:

  • Click the button + next to the field to add multiple templates


Save Settings

After defining all parameters:

  1. Review the settings entered

  2. Click the button Configure to save

  3. Or click Back to cancel the changes


Filter Departments

The Filters button allows searching for specific departments.

How to Use the Filter

  1. Click the button Filters

  2. A screen will open with the field:

    • Departments: Select one or more departments from the list

  3. Click Filter to apply

  4. Or click Cancel to close without filtering

The listing will be updated showing only the selected departments.


Edit Department

You can edit any created department, in a journey similar to creating a new department.

To modify an existing department:

  1. Locate the department in the main table

  2. Click the edit (pencil icon) button in the Action

  3. Change the desired information:

    • Name

    • Color

  4. Click Confirm or Configure to save


Delete Department

You can permanently delete created departments.

To remove a department:

  1. Locate the department in the main table

  2. Click the delete (trash icon) in the "Action" column

  3. Confirm the deletion when prompted

Attention:

  • This action cannot be undone

  • Check that there are no active campaigns linked to the department before deleting


Activate or Deactivate Department

You can activate or deactivate departments as operational needs require.

From the Edit Screen:

  1. Access the department edit

  2. Locate the active status option

  3. Activate or deactivate as needed

  4. Confirm the change

Important: deactivated departments cannot be used to send new campaigns.


How Sending Limits Work

Understanding Meta Quotas

Meta (Facebook/WhatsApp) imposes limits on messages that can be sent per business account. These limits vary according to:

  • The quality of the messages sent

  • The complaint history

  • The current sending volume

  • The account verification level

Distribution by Departments

Departments allow:

Granular control: divide the total quota among different areas (Sales, Support, Marketing, etc.)

Overload prevention: ensure that one department does not consume the entire available quota

Operational organization: each area manages its own sends within the established limit

Individual monitoring: track consumption by department separately


Use Cases

Departments are especially useful for:

Companies with multiple areas - organizations that need to separate sends between sales, support, marketing, billing and other operational areas.

Management of limited quotas - when there are Meta restrictions and it is necessary to distribute sends in a controlled manner among departments.

Decentralized operations - companies with branches or units that operate independently but share the same account.

Campaign segmentation - separate promotional, transactional and informational campaigns into distinct departments.
