Create your template model to submit it for Meta approval

Before launching your active contacts campaign, the templates must be approved by Meta. This is because templates are high-level message models that require content approval by Meta.

In other words: only after approval can we register them on the platform here.

Access WhatsApp Templates

That said, access Marketing / Settings / WhatsApp Templates, as shown in the Figure 1:

Note that you will land on the list of WhatsApp Marketing apps registered on the platform (for details about this registration click here).

Now, click on the corresponding to access the list of submitted templates, as shown in the Figure 2:

How about getting to know the columns that appear above?

1) Name - name of the template submitted for approval. The name must be in lowercase and without spaces (replace spaces in the registration with underlines).

2) Category - category of the template submitted for approval, which may vary between Marketing, Utility or Authentication.

3) Status - status of the template submitted for approval, varying between Pending, Approved or Rejected.

4) Action - represented by the icons

Clicking the first one lets you view the template model. Clicking the second one deletes the template from the list.

Still in the Figure 2, note that above the list you can see two more icons:

Clicking the second one accesses a pie chart of the templates submitted to Meta for approval for each app in question, as shown in the Figure 3:

By clicking you access the template registration environment for approval, as shown in the Figure 4:

But what types of templates can we register for approval on Meta?

Types of WhatsApp Template

There are two types of templates that we can create for review, selected in the field shown in the Figure 5:

1) Standard: simple template, containing only text and variables, up to a total of 1024 characters.

2) Media: more elaborate template, with texts, footer note, headers with images or files, buttons, links and phone numbers.

Shall we see the step-by-step registration for each type?

Note that above we:

1) We enter the template name in lowercase and without spaces, only underlines.

2) We choose the template category as Utility

3) We select the standard type.

4) We choose the Portuguese language.

5) In the Body we type the template text.

Attention: check the checkbox it doesn't help much, since Meta can currently change your template's category without giving any notice.

But, continuing: did you notice that in the text we typed a {{1}}? This is the template variable. Shall we get to know them?

Template Variables

Template variables are pieces of information that vary for each send, as we can see when creating campaigns here.

For example, in the message:

Hello {{1}}! We saw that your invoice of {{2}} regarding the month of {{3}} is outstanding. Avoid disconnections and make the payment by {{4}}

We identified four variables: customer's name, amount, invoice reference month and payment due date. These are the template variables. Replacing these variables in sending, we could have:

Hello Tadeu! We saw that your invoice of R$231 reais regarding the month of of March 2025 is outstanding. Avoid disconnections and make the payment by 02/01/2026.

Attention: the total of 1024 characters available for templates must take into account the filling of the corresponding variables. If this number is exceeded, the sending will fail.

Registration done? Click the button that appears in the Figure 6. After that, the system submits the template for Meta approval:

Now let's follow how we submit a media type template for Meta approval.

Note in Figure 7 that the building blocks of the message models appear:

It's that, unlike the standard, the media model is more sophisticated, which requires you to be familiar with each of these blocks. Shall we get to know them?

Media WhatsApp Template: Header

It is the header of the media template, which can vary between text, video, image and document headers, as shown in the Figure 8:

Text header: to write only text, similar to how we write when the template is standard.

Video header: when we put a video in the template, being able to provide the image URL or upload it from your work computer. Action similar to the image, shown in the Figure 8.

Image header: most common use, which is when we place an image in the template, being able to provide the image URL or upload it from your work computer.

Document header: when we add a document to the template, being able to provide the document URL or upload it from your work computer. Action similar to the image, shown in the Figure 8.

One interesting thing: the image, video or document do not necessarily need to be the final image, video or document.

We can put the final one after Meta approval when we upload the template here.

Header ready? It's time to move on to the message body.

Note above that, as we select the next block, the template is assembled. In this case, the Body is where we write the text message, similar to how we write when the template is standard.

Tip: use plenty of emojis to make the message more personal and don't forget the variables to further individualize the contact.

How about adding a footer note to the template now?

Footer is a footnote that we put in the template, usually with an address, as shown above. But it can also be a reminder, or a slogan.

Now your template is ready. But, if you chose the Mediatype, it's because you also expect the recipient to interact with your template in some way, right?

This interaction is done through the template buttons.

The buttons are very important in a template, because it is through them that the recipient can interact with your campaign, depending on the action you want them to take.

See in Figure 11 that we have three types of button:

Phone Number - where you place the customer's contact phone number, with the possibility to write the text. In the example: Call now.

URL - where you place the link of an address you want the customer to access, with a catchy text. In the example: Click here.

Quick Reply - where you capture the customer's interaction to enter a certain flow of your support. In the example: Speak with Agent.

Most Common Use Case

The most common in campaign sends is the template that expects a customer interaction to place them into a specific support flow. Observe the template below:

Note that the Yes button is a quick reply button that can either direct the customer to an account payment link or place them into human support for payment.

It is also possible to direct the customer to an automatic flow for issuing a second copy of the invoice. The possibilities are diverse. And don't forget to use and abuse the Metadatas to enhance these interactions.

Returning to the Figure 11, after configuring your template, just click to submit your template for Meta approval.

Remembering that the statuses vary between Pending, Approved and Rejected.
