Link Workspaces to Users

Individually define which workspaces each user can access, customizing permissions in a granular way.

This feature is an alternative to the Access Profiles, ideal for companies that prefer to configure individualized permissions instead of working with generic access profiles.


How to Access

Access: Settings / Security / Link Workspaces to the User, as shown in Figure 1:

The home screen presents a selection field where you choose the user to configure their access permissions to the workspaces.


Step 1: Select the User

In the field Users, click to open the list of users available in the system.

How to select:

  1. Click the field Select

  2. Type the user's name to filter the list

  3. Select the desired user

The list displays all users registered on the platform.

After selecting the user, the system will display the workspaces available for linking:

How to activate:

  1. Locate the desired workspace in the list

  2. Click the button on the right side of the workspace

  3. The button will be colored (purple) when activated

  4. The button will be gray when deactivated

  5. You can link multiple workspaces to the same user

After activating the desired workspaces:

  1. Click the Link button at the bottom of the page

  2. The workspaces will be associated with the user

  3. The changes will take effect immediately

Attention: If you leave the page without clicking Link the changes will not be saved.


Available Workspaces

Digital

Workspace focused on digital service through channels such as WhatsApp, Facebook, Telegram and Webchat.

When to link:

  • Digital channel attendants

In-person

Workspace for managing in-person service at physical locations.

When to link:

  • Attendants at service counters.

Ticket

Workspace for managing tickets and requests via a ticketing system.

When to link:

  • Service center attendants.

QA

Workspace dedicated to quality, monitoring and evaluation of services.

When to link:

  • Quality analysts

  • Service auditors

  • Quality supervisors


Difference between Linking Workspaces and Access Profiles

Characteristics:

  • Individual configuration per user

  • Greater flexibility and customization

  • Granular control of permissions

When to use:

  • Companies with few users

  • Structures that require very specific permissions

  • Organizations that prefer individualized control

  • Cases where users have unique responsibilities

Access Profiles

Characteristics:

  • Configuration by predefined groups/profiles

  • Standardization of accesses

  • Management at scale

  • Ideal for large organizational structures

When to use:

  • Companies with many users

  • Organizational structures with well-defined roles

  • Need for standardization

  • Ease of permission replication
