Emergency alarms

Monitor and manage emergency triggers recorded during in-person services.

Here you can view the complete history of all emergency alarms triggered during in-person service.

The emergency alarm button is available during services here and can be used in critical situations such as robberies, fires or similar situations.

When triggered, it immediately notifies the registered responsible parties here so they can take the necessary measures.

How to Access

Access: Service / In-Person Service / Emergency Alarms, as shown in Figure 1:

Main Screen

The main screen displays a table with all emergency alarms triggered, organized in descending chronological order (most recent first).


Alarm Status

Alarms can have two statuses, identified visually:

Handled (✓ green)

  • Alarm has already been attended to and resolved

  • Responsible party has already taken the necessary measures

  • Emergency situation has been controlled

Not Handled (✗ red)

  • Alarm still pending attendance

  • Requires immediate action from responsible parties

  • Emergency situation may be ongoing

Important: Unhandled alarms (✗ red) require priority attention and immediate action.


How the Alarm System Works

1. Prior Configuration

Before using the alarm system, you must configure the responsible parties who will receive notifications:

Configuration Location:

Required Data:

  • Phone number of the responsible parties or E-mail

Without this configuration, the system does not notify anyone in case of emergency.

2. Triggering During Service

When to use:

  • Any emergency that requires immediate intervention, as defined by the account managers.

How to trigger:

  1. During the in-person service, locate the button Emergency Alarm here

  2. The system automatically records date, time, unit, shift and counter

  3. Notifications are sent immediately to the registered responsible parties

3. Notification of Responsible Parties

Notification channels:

  • SMS to registered numbers

  • E-mail to registered addresses

Information sent:

  • Date and time of the trigger

  • Unit where it occurred

  • Specific counter

  • Shift of the day

4. Action by Responsible Parties

Upon receiving the notification, the responsible party must:

  1. Assess the severity of the situation

  2. Decide on appropriate measures:

    • Call the police (190)

    • Call the firefighters (193)

    • Call SAMU (192)

    • Call internal security

    • Other measures according to protocol

  3. After resolving, mark the alarm as handled

By clicking the pencil icon in the Actioncolumn, the system opens a modal to update the alarm status.

Modal Fields

Note:

  • Free text field

  • To record details about the incident

  • Information about actions taken

  • Result of the intervention

Handled:

  • Toggle (on/off)

  • When activated: marks alarm as handled (✓ green)

  • When deactivated: alarm remains unhandled (✗ red)

How to Update

  1. Click the pencil icon on the alarm row

  2. In the Notefield, describe:

    • What happened

    • Which measures were taken

    • How it was resolved

    • Other relevant details

  3. Activate the Handled toggle if the alarm was resolved

  4. Click Update to save

  5. Or click Cancel to discard changes


Best Practices

Configuration

Register multiple responsible parties:

  • At least 2-3 people

  • On different shifts

  • With 24/7 availability

Keep data up to date:

  • Remove inactive numbers/emails

  • Add new responsible parties when necessary

Training

Train the team regularly:

  • How to trigger the alarm

  • When to trigger

  • How to act during emergencies

  • Periodic simulations

Clear protocol:

  • Document procedures

  • Make available in a visible location

  • Review with the team monthly

Response Time

Set goals:

  • Prioritize recent unhandled alarms
